Meeting Minutes
ALAO-SSIG Planning Meeting
March 23, 2007
Members present at the meeting were: Sheryl Gannon, Judith Verdi, Mary Ayres, Bobbi Bishop, and Judy Orahood.
The meeting was called to order by Judy Orahood, Chairperson.
Judy sent around a get well card for Gaynelle Predmore, a member of ALAO-SSIG, who recently had surgery.
Judy reported that May 7, 2007 is the date that is available at OWU from the dates we selected at the last meeting. So, this will be the date of our Spring Workshop.
Judy had information on the ALAO Annual Conference, which will be titled, Innovation Generation: Tools, Techniques, Transformations.
The group discussed the available speakers and topics and time slots. We arrived on the following as a schedule of sessions:

The classes and presenters at present were listed on the board for all of us to note. They were:
- Creating Lists in III – Laura Kinner & Sheryl Stevens of University of Toledo
- Creating Poster Sessions & Program Presentations – John Napp & Alice Crosetto of University of Toledo
- Library Snapshot: Nash House, Delaware Historical Society – Julie Houston
- Library Snapshot: OWU Special Collections – Carol Holliger of OWU
- Computer Class about Email/Spam – Patty Bisker of OWU
Judy will get a letter to each presenter which will give them their time slot, room designation and inquire about any technological needs they may have.
Next, the group discussed a name for our workshop. We arrived at: Succeeding In Spite of Ourselves: Library Relationships.
We then worked up the expense report for Judy to present to ALAO
.First we looked at food. Executive Continental Breakfast estimated at $6.00 – 6.25. Snack choice was to have ½ the Cookie Monster and ½ Pretzel Bar since they were the same price at $3.15 per person. Lunch choice was the Italiano Buffet with Vegetarian Lasagna and 2 varieties of pasta with sauces of Meat Sauce and Alfredo.
We estimated expenses to be the following:
$1100.00 – food
$25.00 - copying
$335.00 – mileage reimbursement
$1500.00 – total expense estimate
Judy will submit this proposal to the Treasurer of ALAO
We agreed upon an April 20th deadline for registrants to have their registrations to Brian Hickam.
Judy will turn in our proposal for this Spring Workshop to Ann Watson and Doug Morrison for approval.
Judith Verdi was placed in charge of the Evaluation Forms. She will come up with an evaluation form and email the committee for input and approval. She will also be in charge of compiling the results after the workshop and reporting the results.
Judy said she has been in contact with Rob Withers, PR Coordinator for ALAO regarding providing us with folders, notepads, notepad holders & staplers. So, we will have door prizes to give to participants when they turn in their evaluations.
Bobbi and Sheryl volunteered to arrive early and man the registration table for the event.
Judy is hoping to have this all approved and the flyer to Lori Fielding for distribution to the liaisons by April 2nd.
We closed discussion of the Spring Workshop and held a brainstorming session for topics to consider for the Track of 4 Sessions we are responsible for at the ALAO Conference.
Ideas for sessions included:
- Give Them What They Want: Serving Students Where They Are – with a panel of participants from differing libraries that have success stories on what they are doing to serve their students
- A session that would focus on keeping up with Technology – this would go along with the "transformations/change" category of the ALAO conference. One suggestion was: Help Me I’m Drowning. Focusing on all the new gadgets that everyone has now: MP3 players, blackberries, etc.
- How to Get Your Self Heard – geared toward support staff. Possibly having a couple of different directors with differing managerial styles tell what they feel is effective teamwork issues with support staff. This would fall within the "techniques" category of the ALAO conference.
- The session that focuses on Creating Poster Sessions & Presentations could possibly be repeated at the conference if it was well received at our workshop.
- There seems to be an on-going need for computer-related workshops – such as Tips & Tricks in Word and Excel – but this would be more geared to the Spring Workshop environment vs. the Annual Conference.
- A workshop pertaining to how to create flyers or brochures would be good too. Perhaps titled, "Flyers for Dummies".
Sheryl will be going in Judy’s place to the next ALAO board meeting on April 20 and will take these suggestions with her and perhaps network for possible speakers for these types of sessions there.
