PROGRAM PLANNING COMMITTEE
Meeting Minutes 5/25/01

Present: Mary Ayres, Southern State Community College; Rebecca Griffith, Southern State Community College; Brian Hickam, OSU Mansfield; Doug Morrison, OSU-ATI; Martha Kluth, University of Akron; Joy Ramos, University of Akron; Karen Ketchaver, John Carroll, Michael Ludle, Methodist Theological School of Ohio; Gaynelle Predmore, Bowling Green State University

1. Welcome:
Mary Ayres welcomed everyone. Brian Hickam was noted to be our newest member of the Program Planning Committee. Thanks were given to Michael Ludle for arranging today’s meeting held at Methodist Theological School of Ohio, Delaware, Ohio.
2. Wrap-Up of Spring Workshop:
Martha shared an article written in the University of Akron’s library newsletter. Thank you were given to everyone who helped. Especially noted our thanks to Bob Gray for his on-site assistance with this workshop.
Budget: Final totals not yet available. Awaiting final totals from Kent State. All registrations have been turned in for a total of $1,590. [Note: an additional $620 was also collected for membership dues.]
Evaluations: Karen reported and distributed the results of the evaluations that she and Michael had compiled. Majority of items were evaluated as excellent. Networking time was noted as beneficial.
Other: Twenty participants of the workshop also toured Kent State University Library at the conclusion of the program.
3. 2001 Annual ALAO Conference:
Scheduled for October 26, 2001, at Ashland University.
SSIG will have a display on table that will include sign up sheet for SSIG Committee, Self Nominations for Secretary/Chair Elect. Gaynelle will take care of these as well as having some sort of freebie to give away such as notepads and/or candy. Karen volunteered to help staff table during the no conflict time. We’ll put a call for volunteers out on the list.
Business Meeting will be held in conjunction with session entitled: Reach for the S.T.A.R.S [Stress Tamers and Relaxing Suggestions]. Time is tentatively scheduled for 11:00-11:55 a.m. Meeting will include time for nominations for Secretary/Chair-Elect, update on goals and objectives, and other news from SSIG.
Michael Ludle presented proposal for SSIG poster session. After much discussion it was decided that the title would be "Change as a Constant: How Do Library Support Staff Keep Up" with subtitle: "Juggling Chaos." Some items to be included with this poster session include lists on how to do, where to go, tips for doing it all, educational opportunities, etc. This session is based upon the presentation that Linda Dobb gave at the Spring 2001 Workshop. Michael will submit the proposal to the ALAO Program Planning Committee. Martha Kluth and Mary Aures volunteered to assist with staffing the poster session.
4. 2002 Spring Workshop Pre-Planning:
Learned that original speaker would not be available to speak in the spring so discussion of other possibilities was held. Some possible topics/speakers were mentioned including:
  • Holding a panel discussion.
  • Speaker possibilities included: Steven McDonald from OSU, Carolyn Brodie from KSU, Susan DiRenzo from University of Akron, President of Colt…
  • Topic possibilities included: Copyright, career tracks for support staff, technology. Doug mentioned the top issues of the ALA survey that Linda Dobb had covered also that he had found an Ohio Humanities Speaker’s Bureau that might have possible presenters.
Gaynelle also had a list of topics that had been covered at other support staff events around the country.
  • Tentative dates for the Spring 2002 Workshop include: 1st week of April [Wed/Thurs or Fri] 3-5; 2nd week of April [Tues/Wed or Thurs] 9-11; 3rd week of April [Tues/Wed or Thurs or Fri] 16-19. Last week of March was also mentioned [Note after checking a more official calendar: Easter is March 31].
  • Tentative locations were also explored with no decision being made.
5. Other Business:
Doug announced that on June 8 there would be focus group meeting in Bowling Green with support staff of Northwest Ohio to investigate a new undertaking of a possible Ohio support staff institute.
Doug made a motion to appoint a subcommittee to put up an ALAO SSIG-related web site that we could keep information and other related materials on concerning our activities. Michael seconded this motion.
Doug also made a motion to appoint a subcommittee to investigate the development of an outstanding support staff person of the year award for the State of Ohio. This subcommittee would investigate the possibility of such an award, develop criteria/requirements for the award, and what it would entail. Michael seconded this motion. It was approved.
Thank you’s were given out to all committee members. A special thanks to our outgoing Chair, Mary Ayres.
